ABOUT THE ROLE
CMTO is currently in search of a Tribunal Clerk who will be responsible for case management and administrative support to the Discipline Committee and Fitness to Practise Committee. The committees hold hearings into allegations of professional misconduct, incompetence, and incapacity.
KEY DUTIES AND RESPONSIBILITIES
- Coordinate all aspects of hearing preparation, including opening files, scheduling hearings, booking court reporters and other service providers, coordinating the issuing of witness summons, and distributing hearing materials.
- Interpret and apply tribunal rules and operational policies with minimal direction to case manage files and ensure compliance with timelines.
- Provide administrative support to the committees and to hearing panels by scheduling and hosting virtual meetings, populating templates, and minute-taking.
- Act as the primary contact for hearing parties and their representatives and draft correspondence in reply to inquiries from members of the public.
- Update and maintain an electronic case management system, ensuring the accuracy of caseload statistics.
- Gather and track hearings data and prepare reports on various performance measurement indicators.
- Prepare accurate and timely updates to CMTO’s website, including updating the hearing schedule and drafting decision summaries.
- Process invoices from service providers and maintain attendance records.
- Participate in various projects to support the tribunal’s modernization initiatives, and perform other duties as assigned by the Tribunal Counsel and Manager.
EXPERIENCE & QUALIFICATIONS
- Law clerk diploma, licensed paralegal or relevant post-secondary education with a minimum of 2 years’ experience in a tribunal, court or regulatory environment.
- Demonstrated knowledge of administrative tribunal or court procedures, with experience interpreting and applying procedural rules.
- Previous experience working with councils, boards or committees in a regulatory environment considered an asset.
- Proven organizational and time management skills to effectively manage a high-volume caseload in a fast-paced environment.
- Superior communication skills (written and verbal) to respond to a wide range and complexity of inquiries; experience dealing with sensitive information that requires discretion and a high degree of confidentiality.
- Strong interpersonal skills and ability to communicate with internal and external stakeholders in a professional manner with tact and diplomacy.
- Advanced proficiency with MS Office, database applications and case management tools. Excellent IT skills and advanced knowledge of videoconferencing platforms are required.
