Make an impact with our Digital team as a Senior Administrative Assistant to join our growing Operations team. Strategically supporting the firm, the successful candidate would anticipate the needs of our Partners and senior leadership team and would assist our leaders with their daily organizational tasks, ensure efficiency and enable them to better serve our clients and people.

Performance Expectations
- Perform a variety of administrative and clerical office support activities for multiple staff ensuring timely adherence to deadlines
- Prepare, review and modify general templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
- Assist in the preparation of regularly scheduled reports
- Create, maintain and update spreadsheets
- Fax, photocopy and scan documents as required
- Assist with projects and in the creation of presentations, as needed
- Record minutes at various meetings and distribute or archive them accordingly
- Uphold electronic and paper filing systems
- Coordinate and schedule internal and external meetings, appointments and travel arrangements
- Manage and coordinate multiple calendars
- Develop a thorough understanding of internal programs and processes
- Contribute to the development of new ideas and approaches to improve work processes
- Participate in coordination of team social events
- Assist with the orientation of new and visiting team members
Partner Administrative Assistance
- Maximize the value of Partners time by pro-actively identifying and taking accountability for all administrative matters
- Provide administrative support to our Partners on a range of activities:
- Manage multiple calendars
- Coordinate and schedule internal and external meetings, appointments, travel, training, and facilities booking
- Support of client deliverables (Word, Excel, PowerPoint, other)
- Expense entry and processing
- Membership tracking and renewals
- Perform directed research
- MS Teams site management
- Understand business needs, manage service delivery, mitigate issues, and bring solutions
- Understand business processes and proprietary systems in order to execute work
- Operate with a large degree of autonomy and independently complete high-quality work to meet established goals
- Handle highly sensitive and confidential information requiring a high level of discretion.
- Contract management/WIP tracking & reporting
- Completion of risk assessment tool (first draft)
- Support with Quality Assurance & Document Management
- Prepare and coordinate correspondence and documents for the team
- Create and maintain electronic filing System
- Intellectual capital management
- Assist in the preparation of regularly scheduled reports
- Engagement checklist completion and management
- Electronic signature management
- Documentation of deliverable acceptance
Skills and Experience
- Minimum of three (3) and ideally five (5) or more years of related administrative experience, ideally within a professional services environment
- Completion of related post-secondary education in administration is an asset
- Exceptional verbal and written communication skills
- Demonstrated computer literacy including effective working skills of the Microsoft Office Suite (Visio would be an asset)
- Highly organized in prioritizing work and multi-tasking
- The ability to work with minimal supervision within a team environment
- The capability to work with internal and external clients
- Takes initiative and has a strong interest in learning
