Key Responsibilities & Activities

Provide variety of administrative and support tasks, including managing client files, processing and tracking administrative transactions, and coordinating/preparing for client meetings;

Lead liaison with company’s back office operations and keep up-to-date on updated documentation processes and timelines;

Prepare client specific reports, including gathering and organizing relevant information and materials;

Maintain accurate and up-to-date client records, including financial and personal information via back office and client relationship management systems (Salesforce);

Uphold company policies and regulations, including those related to client privacy and confidentiality;

Provide exceptional customer service to clients, centers of influences and other business partners by responding to inquiries and requests in a timely and professional manner;

Submit & monitor business and Business Development Allowance (BDA) expenses;

Perform other general administrative duties and assist with special projects as required;

Attend client and non-client events (if applicable);

Skills & Qualifications

10+ years of financial services administration & operations experience;
-
Strong organizational, priority management skills, and ability to meet deadlines;

Excellent teamwork skills complemented by the ability to work well independently;

Attention to detail and accuracy in work;

Demonstrate a high level of work ethic;
-
Ability to handle sensitive and confidential information with discretion;

Excellent written, verbal and interpersonal communication skills;

Strong computer skills, proficiency with Microsoft Office Suite of programs;

Prior experience with Dataphile and Salesforce is preferred;
-
IIROC licensing not necessary but preferred.
