Administrative Assistant / Office Administrator
MAC Group of Companies is hiring a full-time Administrative Assistant to join our rapidly growing and supportive team!

3. J. A. Macdonald (London) Limited (www.jamacdonald.com) is an Interior Systems contractor, providing property developers and owners quality Ceiling, Interior Wall, Sprayed, and Exterior Wall Systems for more than 60 years.
4. Alcotex®, Inc. (www.alcotex.com) is the exclusive North American distributor of Alcotex® aluminum composite material and patented attachment systems used in the construction and erection of exterior wall panels.
5. Woollatt Building Supply (www.woollatt.com) is a Southwestern Ontario distributor of industry leading interior and exterior building products and tools that are targeted to specialty contractors.
The ideal candidate will be friendly, energetic, and organized, with an exceptional personality for collaborating with team members.
Job Responsibilities:
- ~70% of the job will involve freight:
- Coordinate freight and logistics, organize trucks to come and pick up materials, and prepare customs paperwork for shipments.
- Daily mailing of product samples and documents for the sales team.
- Order, receive and restock office supplies inventory across 2 building levels.
- Comfortable lifting up to 20 lbs. on a semi-frequent basis.
- Maintain coffee stations, keep them clean and filled and order coffee supplies.
- ~30% will be administrative/front desk work:
- Respond to multiple phone calls, emails, and visitor inquiries in a professional manner.
- Assist in organizing monthly Fun Friday events (ordering and stocking food).
- Scan and file invoices, packing lists and other documents using printers and Viewpoint software.
- Assist Administration department to coordinate appointments and maintenance.
- Sort and distribute incoming mail daily.
- Other duties as required.
Qualifications:
- Previous experience in an administrative office role is an asset, but not required.
- High school diploma or equivalent is required.
- Intermediate Microsoft Office skills are required, with an emphasis on Word, Outlook, Teams, Excel and PowerPoint.
Knowledge and Skills:
- Typing speed of minimum 35 Words Per Minute.
- Punctual, organized, and motivated to learn.
- Friendly, genuine, honest, and reliable with an approachable and engaging personality.
- Articulate with great verbal and written communication skills and grammar.
- Demonstrates professional appearance and attitude.
- Ability to work independently or as part of a team.
- Ability to work in a fast-paced environment.
- Comfortable lifting up to 20 lbs. on a semi-frequent basis.
- Excellent time management skills, organization and strong attention to detail.
