As a key member of Health Force within CIQP, the Coordinator will provide coordination, operational, and administrative support to facilitate Health Force initiatives and priorities.
The successful applicant should be able to work effectively as a part of a dedicated team and be passionate about supporting initiatives that improve the quality of Health Force program areas. The individual will be interested in learning about the organization and will be able to see their daily activities in the context of organizational goals. As the first point of contact for key internal and external stakeholders, this individual will demonstrate professionalism, tact, diplomacy, and excellent judgement and decision-making skills.
Here is what you will be doing:
Establish and maintain positive working relationships with key internal and external partners. Acts as the first point of contact for stakeholder questions and concerns, manages incoming inquiries and triages requests for the Senior Director as required. Ensures that matters are handled in a timely fashion, with attention to detail, accuracy and strict confidentiality.
Support the Senior Director with ongoing operations, including:
Planning and coordinating meetings through scheduling, developing agendas and meeting materials, preparing meeting minutes and summaries, submitting expense reports, and providing ad-hoc support to Health Force members as needed.
Supporting new hires on-boarding, meeting coordination and preparation.
Support the planning and execution of Health Force events or meetings, including:
Developing and managing project plans, timelines, and status reports to ensure the event is completed on time, on budget, and with high quality results.
Preparing materials, including briefing notes, business case, and agreements.
Provide content development and operational support for Health Force meetings, including:
Scheduling and attending, as directed
Creating data visualization, including interactive charts in high charts, and donut graphs and line charts in Excel.
Plans and co-ordinates all aspects of meeting arrangements, including logistics, IT requirements
Develop correspondence, presentations, slides, reports, and other documentation as required.
Manages office supplies and maintains effective electronic and paper-based filing system
Administrative Support to senior leadership team within Health Force including:
Attends various meetings (internal, external, volunteer, and stakeholder); records minutes, distributes minutes to ensure follow up on issues arising from meetings.
Manages calendars, filing, and books meetings Schedules and coordinates meetings, interviews, and events
Manages correspondence including drafting, editing, formatting, and proofreading to ensure accuracy of grammar and detail
Assembles data, and prepares special correspondence, meeting agendas, reports, presentations, packages and other documents.
Tracks metrics, runs reports and provides analysis of information gathered.
Assists with the further development of the department.
Provide assistance as needed to the other groups within the department.
Provides first point of contact for the department.
Demonstrates excellent judgment and integrity through protecting the confidentiality of all sensitive correspondence and information.
Interacts with internal and external stakeholders, executives and Executive/Administrative Assistants and responds to requests with appropriate urgency and provides relevant information as needed.
Coordinates all administrative activities of the Vice President/Director including booking travel and accommodation arrangements.
Support development of tools and templates, and where required conducts training courses on how to use them.
Coordinate, schedule and manage logistics for ad hoc logistic meetings with internal and external individuals and groups, including Secretariat staff team to ensure activities and deliverables are aligned with plans.
Ensure that all pending documentation is brought forward when necessary and according to appointments and deadlines.
Perform other related duties as required

Knowledge and Skills
Excellent communication, interpersonal, decision-making and diplomacy skills. Able to interact comfortably with all levels of organization and personnel.
Excellent organizational skills. Responsible and highly motivated. Must be able to manage multiple tasks. Demonstrated initiative and the ability to work independently and to deadlines with an attention to detail.
Ability to work both as a member of a team to fulfil the team’s responsibilities, and independently, using sound judgement and independent thought.
Advanced knowledge of Microsoft Word, PowerPoint, Excel, Adobe, Outlook and Internet. Experience with MS Project and MS Visio is an asset.
Excellent written and oral communication skills. Demonstrated proficiency in English grammar and spelling.
