LEGAL ASSISTANT JOB DESCRIPTION

We are currently recruiting for an experienced litigation assistant. The qualifications, duties and responsibilities would include, but are not limited to:
Qualifications:
· Minimum of 5 years’ legal experience in litigation law
· Employment Law experience is an asset
· Experience working in a fast pace environment
· Ability to work with minimal supervision
· Strong attention to detail with proofreading and editing skills
· Excellent organization and time management skills
· Ability to complete tasks with accuracy
· Ability to manage various matters while meeting deadlines
· Excellent verbal and written communication skills
· Excellent interpersonal and client service skills
· Knowledge of the Rules of Civil Procedure, Human Rights Tribunal of Ontario Rules of Procedure
· Technical experience with: MS Office (Word, Outlook, Power Point and Excel) PC Law, Nuance/Adobe Acrobat
. Advanced Word formatting skills
· Ability to exercise discretion and confidentiality

· Ability to work as a Team

Job Duties:
- Preparation, editing and formatting of correspondence and legal documents based on lawyers’ work preferences
- Scheduling meetings and appointments
- Act as main point of contact for client files, both internal and external
- Maintain and organize client files in both print and electronic format
- Carry out correspondence and communication both internal and external
- Opening files, organizing and maintaining files, routine communication with clients and other law firms, faxing, copying
- Preparing, compiling, serving and filing court documents
- Liaise with the courts to schedule motions and case conferences
- Prepare Requisitions and do the necessary follow ups for motions and applications
- Scheduling management – including organizing client meetings, making travel arrangements,
- Maintaining multiple lawyers’ calendars, etc.
- Filing, photocopying, scanning, etc.
- Managing email and mail correspondence
- Electronically compiling, bookmarking and hyperlinking briefs
- Printing and binding briefs
- Manage process for scheduling and organizing Discoveries, Mediations, Human Rights Hearings, and serving the requisite documents
- Arranging speaking engagements, etc.
- Ability to manage video conferencing platforms such as Zoom and Microsoft Teams
- Knowledge of document sharing platforms, Caselines and E-filing
- Other general administrative duties as required
- Relief reception
- Assisting with covering office clerk duties when absent, including getting coffee and lunches for Firm management
Key Responsibilities:
File & Document Management Activities: Maintain systems and processes that support efficient and effective management of all client file communications, record-keeping and filing systems. Ensuring all hard copy and electronic filing is organized and up to date.
Calendar & Time Management: Effectively communicate and confirm daily calendar requirements, pull supporting documentation/information for meetings and arrange appointments
Email Management: Apply Microsoft Outlook rules, flags and categories to manage business-related email utilizing an effective electronic folder structure; ensure email is filed regularly.
Organization: Effectively organize files, proactively work to understand priorities and develop plans for recurring activities; manage multiple responsibilities.
Project Coordination: Ability to execute and deliver on work tasks in a timely manner and develop contingency plans to overcome obstacles.
Technology: A proactive approach in terms of research and keeping up-to-date with new and emerging software and technology platforms, required for firm use.
