PROPERTY MANAGER ASSISTANT
As an integral member of Sch’ eyk Housing Society’s team, the Property Manager Assistant will be part of a passionately dedicated and skilled group working together to be accountable to all who access our programs and services, as well as to each other, our communities, and our funders. You will help support a dynamic and progressive organization that acts as a change agent ensuring a higher level of integrity, accountability, and service in the not-for-profit sector.
Primary Accountabilities
Under the direct supervision of the Property Manager, the Property Manager Assistant provides a wide variety of administrative and staff support services, and performs office work directly related to property management and the general business operations of the society. May assist with employee timesheets, records, and reports regarding operations, and emergency service duties.
Sch’ eyk’s Property Manager's Assistant is professional, detail-oriented, able to work independently and able to complete tasks on a timely basis, and:
· Assists with collecting and recording rents;
· Ensures that the telephone is answered promptly, and messages are handled courteously, accurately and in a timely manner; passes on messages to other staff promptly;
· Acts as daytime tenant liaison and coordinates front-line responses to day-to-day tenant requests dealing with tenant issues and queries, including referrals to colleagues, in a manner conducive to excellent customer service;
· Assists with distribution of management reports, notices, memos, at the direction of the Property Manager;
· Maintains, updates and coordinates tenant information in computer database on a bi-weekly basis, generates a report for the Property Manager;
· Maintains the office supplies, requests office supplies and equipment, following established procedures;
· Prepares move in packages, creates files, compiles and all necessary information and documentation for new rentals/tenants;
· Follows safety procedures and maintains a safe work environment;
· Grants access to the building consistent with Housing Society policies;
· Provides information regarding application procedures, waiting lists, vacancies and qualifications to potential tenants;
· Supports Residents requesting work orders or other form;
· Notify appropriate staff and/or support worker or manager of any critical incidents or emergencies;Assist in scheduling trade work; Liaise with management in managing turnovers and provide all paperwork to the finance department to facilitate move outs, including reimbursements of security deposits;ssist with documentation of and tracking all certificates of insurance from vendors and tenants
· Assist with maintenance of all rental, lease, and property related files;
· Liaise between Property Management, and other building staff, as well as trades to ensure smooth transitions and flow of information;

· Take and organize meeting minutes as required; Other related duties as required.
Qualifications
· Completion of Grade 12 plus a Certificate in Property Management plus 2 years of relevant experience in residential/commercial real estate/property management (ideally, experience in affordable/social housing) or a combination of relevant education and experience.
· Familiar with the Residential Tenancy Act of BC
· Proficient in MS Office (MS Word, Excel, PowerPoint, Outlook) and Adobe Acrobat;
· Proficient in ARCORI PM for affordable Housing (or similar CRM system)
· Strong written and verbal communication skills
· Excellent organizational, multi-tasking and prioritizing skills
· Ability to meet tight deadlines and to work under pressure
· Mental Health First Aid & NVCI certification strongly desired
· Comfortable working and walking in the Downtown East Side
· Strong understanding of issues of poverty and marginalization
Maximum Hourly Rate: $25.19(Step 4)
