About The Role:
Reception:
General reception duties:
-
Manage the switchboard for all incoming calls and responding to caller needs for example taking messages or redirecting calls where needed.

Meet and greet all visitors, suppliers, etc, ensuring they follow sign in procedure, and notifying appropriate host of a visitor’s arrival. Dealing with visitors departing the facility.

Maintain & support security by following procedures, monitoring visitor pass logbook, and issuing & retrieving visitor badges.

Support travel booking needs – ordering taxi’s, trains, planes and accommodation requirements.

Ordering stationery for the FCE and other ad-hoc requests.

Managing purchase orders and invoices relevant to reception

Circulating FCE communications
-
Liaise with Marketing to ensure the LCD screen signs are up to date in reception.

Keep contact details in reception switchboard up to date
-
Maintain a safe & clean reception area by complying with procedures, rules & regulations.

Admin duties to support the Supply Chain team.
Meeting Rooms:
Assist with all internal and external meetings including:
-
Managing and maximising use of meetings room space (via meeting room booking system).
-
Ensuring rooms are in a presentable manner.
-
Book lunches and refreshments when required and ensuring space is reserved for lunch in canteen.

Manage turnround of rooms for next meetings.
Facilities Management:

Handle all incoming and outgoing mail (sorting post on arrival / ensuring post is ready to be collected at the end of the day).
About You:
-
Proficient in English - speaking, writing, and understanding.
-
Proficient at managing switchboard and front of house technologies.
-
Basic computer skills – visitor sign in systems, manage emails etc.
-
Have experience as a receptionist or in a front of house/customer facing role
-
Professional demeaner.
-
Customer care ethos.
-
Ability to self-motivate and self-direct day to day activities.
