Summary:
Our busy, client-focused software healthcare company needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. We’re looking for an energetic professional who doesn’t mind wearing multiple hats.
Duties and responsibilities:
Office Management
· Support company operations by maintaining office systems
· Manage office supplies, such as stationery, paper/toners/workstations/water/snacks/organize Friday lunches
· Manage incoming calls and correspondence, collect and document incoming information, communicate relevant messages to the corresponding departments
· Maintain clients’ documentation
· Organize team trips and corporate events planning
Accounts Receivables
· Processing payments from clients on PAD. Semi-monthly PAD transaction initiation. Tracking if any payment returns NSF. Communication with collections about failing PADs.
· Processing payments from clients by credit card. Monthly CC transactions. Tracking of expired/invalid/over-balance cards with collections.
· Processing of cheque payments. Tracking of NSF cheques. Working with collections.
· Overview/monitoring of collections. Overdue clients.
· Participate in client invoicing meetings
Reporting
· Keep management informed by reviewing and analyzing special reports; summarizing information; identifying trends
· Monitor clients’ volume reports monthly
· Send monthly billing reports
