The Job!
Legal Practice Assistants play a pivotal role in providing comprehensive administrative and document-related support across various legal domains. We have roles available within both corporate and litigation practice areas. We are looking for individuals who have meticulous organizational skills, strong communication skills, strong MS office and document formatting skills.
- Prepare, format, and revise a diverse range of legal documents, including correspondence, agreements, court documents, and presentations, ensuring accuracy and timeliness.
- Facilitate effective communication with existing clients, prospective clients, and internal stakeholders in a professional and responsive manner.
- Manage calendars, coordinate meetings, events, conferences, and travel arrangements for designated teams.
- Initiate client matter processes, draft engagement letters, and oversee intake documentation processing.
- Collaborate with various teams and stakeholders for fund transfers, wires, and financial coordination.
- Record billable time for legal professionals using the firm's timekeeping system.
- Review, modify, and communicate with clients regarding proformas and invoices, ensuring accuracy and completeness.
- Maintain accurate expense reporting and process check requests efficiently.
- Deliver exceptional client service through inquiries handling, phone answering, and client greetings.
- Foster collaborative work dynamics within assigned teams and practice areas.
- Coordinate administrative aspects of projects, facilitating workflows and communication among team members.
- Actively participate in training opportunities to enhance proficiency in software tools.
- Balance in-office and remote work arrangements as needed.
What you bring to the job
You are someone with meticulous attention to detail and a commitment to task completion. You also come with the following qualifications:
- College degree or relevant work experience.
- 3+ years of secretarial or administrative experience, within the legal profession.
- Experience in Litigation (Rules of Civil Procedure) or Corporate Law.
- Excellent written and verbal communication skills.
- Strong organizational and administrative prowess.
- Effective problem-solving skills, logical reasoning, and creative thinking.
- Capability to manage competing priorities, adapt to changing demands, and work under pressure.
- Proficient in professional interaction and collaboration across all levels.
- Independent work capabilities coupled with effective teamwork.
- Strong customer service orientation, proactive attitude, and adaptability.
- Ethical standards, integrity, and discretion in handling confidential matters.
- Proficiency in Microsoft Office suite; ability to quickly learn new software.
- Flexibility for occasional overtime and adaptable work arrangements.
